The Coachview Integration by FBI Digital is also a Master for Post-Academic Education in WordPress!

It goes without saying that the Post-Academic Education Delft – as part of TU Delft – is an authority in additional training in Technology and Management.
During an initial meeting, we discussed the ins and outs of the current situation at PAOTM, their identity and aspirations, and the goals for the new website.
We also discussed the reasons for choosing to work with the Coachview course administration software package.

Background

PAOTM has a strong ambition to streamline the organization’s course planning activities compared to the old situation. The goal is to ensure that employees focused on planning can concentrate on creating the course schedule and organization, rather than fixing technical errors or dealing with error-prone duplicate work.

During the search for a serious partner to achieve this goal, PAOTM and FBI Digital started talking and subsequently partnered together.

Project Requirements

There is a need for a new, more user-friendly, and easier-to-manage website with a fresh design and the aforementioned integration with Coachview.
The objective is to automate several core tasks of PAOTM, such as student enrollment and information automation.
Additionally, the new website should have a clearer interface in terms of User Experience, with better navigation structures and call-to-action buttons.
In the long term, the goal is to use software like Hotjar or a similar package to gain a better understanding of visitor behavior on the site, allowing for further optimization and expansion to provide visitors with the information they seek.

Our Solution

Setting up the Coachview platform is essential as it forms the basis for information exchange with the website. To ensure the setup is correct, we perform a preliminary check.
After agreeing on the layout with PAOTM, we begin building the website. FBI Digital follows a method of 2 to 3-week design and development sprints for such projects. All tasks are combined and discussed in a backlog beforehand, serving as the basis for the development sprints. The Definition of Done is also agreed upon during the kick-off session, the first meeting to discuss the project details.
Before starting, we wanted to know a few things from PAOTM:
– Which training courses are valuable enough to highlight?
– Who are your primary customers?
– Is there competition and, if so, how does PAOTM differentiate itself?
– What are your ambitions and which target groups do you want to reach additionally?
– What are the Unique Selling Points of PAOTM?
– Please provide insights into the statistics of the past year.
– Which websites appeal to you in terms of style and why? Are there good examples?

Technologies & services

We chose proven technologies. We integrated Coachview with WordPress via an API to read course data at the appropriate places on the site and to send it back with the submission of various forms.
To make the technology more advanced, we later implemented the use of webhooks to minimize the number of API requests and to retrieve updates in real-time. This reduces the frequency of API calls to Coachview and prevents exceeding data limits. The biggest advantage is that the data on the website is updated synchronously with the data in Coachview.
This makes it easier for employees to directly verify course data on the site!

Result

The PAOTM website offers significant convenience compared to the old situation, although it requires some adjustment. But that is just a matter of time.
PAOTM now uses our Service Management with a ticket desk, we have maintenance agreements, and they outsource necessary feature development to FBI Digital.
A customer and result we can be proud of, where innovation and collaboration for further development are top of mind, making both parties very happy.
